Tax debt guide

Organize tax paperwork in one simple session

A straightforward filing system for IRS letters, returns, payment records and unanswered tax questions.

A useful tax folder does not need to be fancy. It needs to let you find the right year and show what a number is based on.

Make four categories

  • Letters: every IRS notice and your response.
  • Returns: the filed return and related income records.
  • Payments: confirmations with date, year, and amount.
  • Questions: missing records and points needing review.

Within each category, arrange items by tax year and date. Keep your original papers safe and use readable copies for working notes. Do not mix a draft return with the signed or filed version without clearly marking the difference.

Add a one-page index

For each year, note whether the return is available, whether a balance is known, and which letter is newest. An index makes an initial conversation easier because you can describe the file without reading every document aloud.

If you need to investigate missing IRS records, the agency provides transcript access with different record types. Select the type that fits the question. IRS tax records and transcripts ↗

For business records, keep source documents with the summaries you create. The IRS recordkeeping guidance explains the role of records in supporting reported income and expenses. IRS recordkeeping guidance ↗

Protect the file as you use it

Tax papers contain personal information. Keep them in a private place, use access controls on digital copies, and avoid leaving full returns in shared inboxes. This website has no document upload form and does not need your Social Security number to show these guides.

If you engage Republic Tax, ask about their approved document-transfer method before sending records. Confirm what they need, who can access it, and how you will get copies of work performed.

Finish the session by naming the top three gaps. Give each a next action such as “request from payer” or “find payment confirmation.” A short actionable list is more useful than a folder labeled “tax problem.”

Three questions to take with you

  • Which years are complete?
  • Which record would answer the missing question?
  • How should documents be sent securely?
